- 1). Bring a small group together to help organize the pageant. Establish a head program organizer, assistant organizer, promoter and treasurer. Make the organizers responsible for obtaining necessary permissions, meeting deadlines, interviewing and finding judges and overseeing the actual pageant. Make the promoter responsible for setting up a website, registering contestants and promoting the event. Give the treasurer the sole duty of fundraising for the event and handling all necessary monies and taxes.
- 2). Draft a statement of purpose for your pageant. Decide the rationale -- the reason -- and the goals of the event. Indicate if the pageant is sponsoring a cause or representing an organization. Consult with organization members -- school, non-profit or otherwise -- and make decisions as a group, if necessary.
- 3). Draft a set of rules and guidelines for the event. Estimate the number of pageant contestants as well as what each contestant must do to fulfill her obligation. Identify categories in which each contestant must participate -- demonstration of a special talent and the retelling of a personal story, for example. Beauty may involve formal wear and grooming, for example, while special talents and personal stories may be sections of the event where each contestant displays a particular aptitude and fond memory, respectively. Determine how many judges will be needed. Establish rules for judges to ensure impartiality.
- 4). Find a venue with a space large enough to accommodate your needs. Choose a place with a stage, lights and comfortable seating. Ask school administrators about using the school gym or theater, for example, if your pageant is sponsored by an academic organization or club. Fund raise, if necessary, to pay for the rental of a venue.
- 5). Register contestants and promote the event to people at large. Set up a website advertising the upcoming the event to attract contestant and audience interest. Display dates, times, purposes and guidelines for the pageant on the website. Hand out flyers and postcards with the help of friends, family or organization members.
- 6). Purchase trophies, ribbons or certificates for pageant winners. Contact your local trophy shop about an affordable design to suit your needs. Assign this task to promotion representatives and work with the treasurer to ensure all purchased awards are within your budget.
- 7). Bring volunteers on board to help with the promoting and organization process. Ask volunteers to donate time and goods -- clipboards, copy paper, food for contestants and audience members or technical assistance, for example. Solicit the support of any and all sponsoring organization or club members and assign specific roles for each member, if possible.
